Job Title: Executive Assistant

Location: Lagos

Job Summary

  • The Executive Assistant will provide high-level administrative, organizational, and strategic support to the executive team.
  • This role requires an individual who is proactive, detail-oriented, and capable of handling multiple tasks efficiently.
  • The ideal candidate must possess excellent time management skills, strong communication abilities, and the ability to maintain confidentiality in all matters.

Key Responsibilities
Calendar Management:

  • Schedule and coordinate meetings, appointments, and events for executives.
  • Prioritize and manage conflicting demands on the executive’s schedule.
  • Ensure all meetings are well-organized, with necessary preparations completed in advance.

Travel Arrangements:

  • Book flights, hotels, and transportation for business trips.
  • Prepare detailed travel itineraries and coordinate any changes.
  • Ensure smooth travel logistics for both domestic and international trips.

Communication Management:

  • Manage and screen emails, phone calls, and messages for the executive team.
  • Draft, review, and distribute business correspondence as needed.
  • Serve as a primary liaison between the executive and internal/external stakeholders.

Document Organization:

  • Maintain, update, and organize company files, records, reports, and other essential documents.
  • Ensure all documentation is easily accessible and well-structured.
  • Assist in preparing reports, presentations, and other business materials.

Meeting Coordination:

  • Prepare meeting agendas, take minutes, and distribute materials before and after meetings.
  • Ensure follow-ups and action items from meetings are tracked and completed.
  • Manage virtual and in-person meetings, ensuring smooth execution.

Expense Management:

  • Track and manage executive expenses, reimbursements, and budget-related tasks.
  • Ensure timely submission of financial reports and expense documentation.
  • Assist in maintaining financial records and processing payments related to executive functions.

Liaison Role:

  • Act as a bridge between executives and employees, clients, and business partners.
  • Ensure clear and effective communication between different departments.
  • Represent the executive professionally in interactions with key stakeholders.

Project Support:

  • Assist in managing and executing special projects and initiatives.
  • Conduct research and provide insights to aid decision-making.
  • Coordinate with various teams to ensure smooth project execution and timely completion.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field.
  • Minimum of 3 years of experience as an Executive Assistant, Personal Assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work independently, anticipate needs, and take initiative.
  • Experience in coordinating high-level business operations and projects is an advantage.
